Microsoft 365 for small businesses: why the CSP route almost always beats the online subscription

Buy Microsoft 365 directly or through a CSP partner? For small businesses the difference matters more than you would think: in support, security and licensing.

“Can we not just buy Microsoft 365 directly with the company card?” I hear this often, and technically the answer is: yes, of course. In practice it is rarely the best idea. Going through a Cloud Solution Provider, CSP for short, usually costs the same or less and gives you noticeably more day to day. Here is the take without the sales pitch.

What CSP actually means

CSP is Microsoft’s partner model. Instead of buying your subscription directly from Microsoft, you get it through a partner who bundles licensing, billing and support. Nothing changes about the product: it is the same Microsoft 365, the same apps, the same cloud. What changes is who picks up the phone when something goes wrong.

The difference day to day

  • One contact instead of a hold queue. With a direct subscription you land in general Microsoft support. Through CSP you call the partner who knows your business, in your language, without ticket-number ping-pong.
  • One invoice. Licences, adjustments and support run through a single document instead of a card charge nobody can place.
  • Scale flexibly. New employee, new licence; someone leaves, licence gone. You adjust it monthly without clicking through Microsoft portals.

The licensing jungle, briefly sorted

Most small businesses need exactly one of three tiers: Business Basic (web and mobile only, no installed Office), Business Standard (with the desktop apps) or Business Premium (plus security and device management). The most common mistake is to book the most expensive blindly, or the cheapest by reflex. Which tier fits depends on two questions: do your people work in the browser or in installed Office, and how sensitive is your data.

Security is not the default

A point that easily gets missed: Microsoft 365 is not automatically configured securely. Multi-factor sign-in, Defender, sensible access rules, all of that has to be set up actively. This is exactly where Business Premium plus a clean initial setup pays off, because the most common damage in small businesses is not the movie-style hacker attack, but a hijacked, poorly protected mailbox.

What you do not need

You do not need enterprise licences, a consulting project running for months, or features nobody ever opens. A clean setup, the right tier per person and a contact who is actually reachable fully cover what most businesses need.
